PHASE 1 – Analyze Current Payroll Setup and Develop an Implementation Plan

Part 1 – Introduction Meeting

During this phase we get to know our customer and reason for purchasing the new payroll software. We establish timelines to manage expectations and commit to a completion date. This will be documented and signed-off.

Part 2 – Needs Analysis

Book a Complimentary Needs Analysis

Your Needs Analysis is the backbone to your payroll setup. It provides the blueprint for your unique setup.

1. Determine all monthly processes

PHASE 2 – SETUP and MIGRATION

We build your solution according to your exact needs.

During this second phase, Payroll will be configured according to the signed-off documentation from phase one and all the relevant information will be migrated to the new Payroll system e.g., employee information, fixed financials, etc. All migrated information will need to be signed off before proceeding to the next phase.

PHASE 3 – FINANCIAL TAKE-ON

Import Historical Financial Data

A Year-to-Date take-on or Month-by-Month take-on will be preformed depending on the client’s requirements.

This will be done in order for employees to only receive one IRP5.

PHASE 4 – PARALLEL RUN

The following 6 steps will be used to test the system readiness.

1. Payroll Input

Payroll input is received.

2. Payroll Processing

Payroll input gets processed by a specialised administrator dedicated to your company.

3. Payroll Review

Input gets viewed and validated.

4. Payroll Adjustments

Required adjustments are made after internal validations.

5. Payroll Approval

Final reports of the period's payroll will be sent to the customer for sign-off.

6. Payroll Output

Payment files are generated and declarations are submitted.

PHASE 5 – GO LIVE

This is the final phase in which the old payroll system is deactivated and employees are paid from the new system for the first time.
